HyperSync Panel includes built-in functionality to help organizations protect privacy and reduce clutter in shared directories by automatically hiding terminated users from the global address book.
How It Works
When a user leaves the organization, HyperSync Panel detects this status change through integration with the authoritative HR or identity system, which marks the user as terminated. Once detected, the system can take a number of actions, including:
-
Hiding the user’s email address from the global address list (GAL)
-
Removing visibility in directory-based address books such as Microsoft Exchange or Azure AD
-
Flagging the account for deletion or archival based on your retention policies
This process is typically driven by HyperSync Panel, the suite’s synchronization engine. It allows organizations to define state-based rules, meaning the system continuously evaluates whether a user is active, a mover (changing roles), or a leaver (terminated). When a leaver status is detected, the system applies your configured policies—including hiding the user from address books.
Why This Matters
Automatically hiding terminated users ensures that former employees no longer appear in organizational address lists. This provides several important benefits:
-
Protects privacy by limiting access to outdated or unnecessary contact information
-
Reduces user confusion by keeping address books clean and relevant
-
Improves compliance with data retention and privacy policies, especially in regulated industries
-
Enables automation of what would otherwise be a manual and error-prone administrative task
Identity Panel’s approach is flexible and customizable, allowing organizations to define exactly when and how this information should be hidden, including rules based on department, employment type, or other user attributes.
