Post-Termination Mailbox and OneDrive Access for Business Continuity

To support business continuity, the HyperSync Panel with the Exchange Online provider makes it possible to grant continued access to a terminated user's Microsoft 365 mailbox and OneDrive. This temporary access is granted to the user's manager or a designated successor and is intended to maintain operations, retrieve important data, and ease transitions following employee departures.

Default Retention Period and Extension Options

The system allows setting default retention period following the user's termination date. During this time, the manager or approved delegate can continue to access the former employee’s mailbox and OneDrive content. This access helps avoid disruptions by allowing ongoing projects, critical communications, and stored documentation to be reviewed or transferred as needed.

If more time is required, the access window can be extended. Extensions must follow an approval process, which can be configured according to your organization’s policies. For example:

• Requests may require managerial justification.

• Approvals can be routed through HR, compliance, or IT security.

• Extended access can be granted in increments or set to expire on a specific future date.

Policy-Based Controls and Auditing

Access and extension requests are managed through policy-based controls within the Identity Panel Suite’s governance framework. This ensures that:

• Only authorized individuals are granted access.

• All actions are logged for auditability and compliance.

• Retention periods are enforced automatically unless extended with proper authorization.

These settings support both organizational flexibility and data protection, ensuring that access is neither prematurely cut off nor left open indefinitely.
